As a Executive Assistant, you will be stepping into a role with many hats, and responsibilities can include maintaining a personal and professional schedule, coordinating meetings, dinners, and events, and even running essential and non-essential errands during work hours.
You will be working directly with the CEO.
You will be working on projects that are assigned, follow up on several tasks and customers after meetings and conferences.
The ideal candidate has exceptional communication and interpersonal skills, is incredibly organized, and can multitask, often working on multiple projects at once.
This person must be self-motivated and able to work alone with little direction.
Travel is a must, you will go to conferences with the CEO! Responsibilities Schedule appointments and maintain a realistic, accurate calendar, assist with meetings and event planning and coordination Maintains an active calendar of appointments, coordinating multiple schedules; calendar maintenance.
Coordinate and schedule small-medium-large meetings with both internal and external parties along with follow ups.
Work closely with many different people to ensure everyone is on the same page Provide high-level administrative support to the CEO - Provides primary day-to-day support to CEO Manage the CEO's calendar and schedule appointments - Proactively maintain CEO busy and fluid calendars for both personal and business Prepare and edit correspondence, communications, presentations, and other documents Screen incoming calls and correspondence, providing independent responses when applicable.
Maintaining strict confidentiality.
Coordinate internal communications from the executive.
Establish and maintain a positive working relationship with the executive team and interface as required with our customers.
Manage emails, phone calls, and invitations with a wide range of business and personal contacts in a professional manner File and retrieve email, documents, records, and reports Handle confidential information with discretion Resolutions for assigned corporate meetings, assigned tasks from meetings Acts as the face and voice of the executive in various interactions, protecting and preserving their time for high-level activities Represent the professional, polished, and intelligent manner Oversee communication with customers Follows through on projects to successful completion with little need for direction Thrives within a fast-paced, deadline-driven environment Assisting with project management Qualifications 3-5 years of high-level Executive Assistant support.
